Status: Part-Time (25-35 hrs per week), Non-Exempt

About Healthy New Albany: Healthy New Albany (HNA) is a non-profit organization dedicated to cultivating and inspiring healthy living. The organization oversees a thriving farmers market and community garden, food pantry, hosts the New Albany Walking Classic, and offers regular, year-round health-based community programming and education. Healthy New Albany is located in the Philip Heit Center for Healthy New Albany

Position Summary:

The Pantry Manager is responsible for the daily operations of the Healthy New Albany Food Pantry, ensuring the efficient and compassionate delivery of food and services to individuals and families in need. This role involves overseeing the pantry team, overseeing inventory, coordinating volunteers, maintaining food safety standards, and providing excellent client service. The ideal candidate will possess strong organizational and interpersonal skills, a commitment to serving the community and the ability to work effectively with a team. The Healthy New Albany Food Pantry is open to clients for shopping two weeks a month and offers special initiatives such as Winter, Spring, and Summer Meal bags for school aged children, and seasonal support such as Thanksgiving Bags and distribution of coats/school supplies.

Key Responsibilities:

Pantry Operations & Client Service:
  • Oversee daily pantry operations, including client shopping days, adhering to all applicable regulations and guidelines .
  • Provide compassionate and respectful service to all clients, managing appointments, communication, and referrals.
  • Maintain accurate client records and submit required reports.
  • Coordinate with the Resource Coordinator and area partners to ensure the Resource Center information is up to date.
  • Maintain ongoing communication with pantry clients through newsletters, and other communication methods.
  • Work with the Executive Director and Board of Directors on pantry relocation.

Inventory & Logistics Management:
  • Coordinate with the Assistant Pantry Manager and Pantry Inventory Manager to manage inventory levels, including receiving, storing, and distributing food donations and pickups.
  • Ensure accurate tracking and recording of food inventory.
  • Coordinate with community partners that provide in-kind pantry support.
  • Maintain strict adherence to food safety standards.

Volunteer Coordination & Community Engagement:
  • Recruit, onboard, and schedule volunteers for all pantry operations.
  • Develop and deliver comprehensive training for volunteers on pantry procedures, food safety, and client interaction. ? Organize and coordinate volunteer assignments to ensure efficient coverage of all pantry tasks.
  • Coordinate food drives with local community partners.
  • Build and maintain community relations through volunteer group coordination, social media content contribution, and volunteer appreciation initiatives.

Administrative & Compliance:
  • Manage pantry team, as well as student volunteers and interns.
  • Maintain accurate pantry records and submit required reports.
  • Review and update pantry policies and procedures.
  • Collaborate with other Healthy New Albany staff for marketing, donor relations, and strategic planning.
  • Attend all relevant staff and professional development meetings.
  • Performs other support related duties as assigned.
  • Manage pantry budget.

Required Skills and Qualifications:
  • 3-5 years of customer service or related experience, food pantry experience is a plus.
  • Strong interpersonal skills and experience managing staff, interns or volunteers.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Workspace, Microsoft Office Suite and a volunteer management system is a plus.
  • Strong organizational and time-management skills.
  • Ability to lift and carry up to 50 lbs, and perform frequent bending and lifting.
  • Commitment to the mission of Healthy New Albany.
  • Ability to work independently and as part of a team.
  • Flexibility to work evenings and weekends as needed for pantry shopping and occasional other events.
